Qualtrics Integration with NVivo (in Windows)

Survey Platform Integrations

[The contents here are still generally accurate in NVivo, the most current version of the software.  The screenshots have not been updated to the latest version, however.  NVivo has a number of integrations with various survey platforms.]

With the integration of Qualtrics into NVivo (in Windows), it is possible to access Qualtrics data directly through a Qualtrics token.

(The token is an alphanumeric sequence that is auto-generated in Qualtrics and is unique to the individual user.  This API token enables access to the surveys that that individual controls in the Qualtrics Research Suite.)

Respondents to surveys  will be brought in as Qualtrics case nodes, close-ended questions as attributes (in classification sheets), and open-ended questions (with textual data) as nodes.  In other words, data will come in in a pre-labeled way and be autocoded in ways that benefit efficient analysis.

Those who use Survey Monkey can also use the NVivo survey integration to import data for analysis in NVivo.

Updating NVivo 11 Plus

First, it is important to update the current version of NVivo 11 Plus on Windows (to 11.2.0.611 or later).

  • Make sure to update your NVivo 11 Plus.
  • To know your proper version and bit, go to File  -> Help -> About NVivo.  Capture both the version and the bit count (32 or 64).
  • Install the update(s).
  • In your Data tab, see the new Survey part.

The Survey wizard will enable the ingestion of survey data from four sources:  a Microsoft Excel file (.xl, .xlsx), a text file (.txt, .csv), Survey Money, and Qualtrics.

In Qualtrics

  • Log into Qualtrics at http://survey.ksu.edu
  • Under your name, go to Account Settings.
  • Go to Qualtrics ID button.
  • Under API (application programming interface), click “Generate Token.”
  • Copy the token.
  • Do NOT share this token with anyone because it gives the user access to all your surveys and the linked results.

Place the API token, and click “Allow access.”

The next step allows the downloading of the survey list.

Figure 4:  Select Survey (Step 2)

Just click on the selected survey from the list.  (The selected survey has to have responses in it before it can be ingested into NVivo.)  Click "Next".

NVivo makes contact with Qualtrics and verifies the token.  The download process begins.  The user then walks through various steps to let NVivo know how to understand the data.  For more on this, click to the next page from here to understand the survey ingestion process.

Non-Acceptance of the Qualtrics API Token?

If this authentication into Qualtrics fails, then you will have to download the data from Qualtrics and then import as a file into NVivo (on Windows).  Qualtrics survey data may be exported in various formats, but for use in NVivo, it would be good to download the data as .csv (comma separated values).
